Job Description Summary
Under the general supervision of the Associate Director of Finance, provide direct financial support to Weitzman School of Design's academic and academic support areas. Process and audit non-payroll financial transactions according to University policies and procedures using BEN Financials, Concur, Penn Marketplace, and corporate credit cards. Act as the School's central finance office's liaison on best financial transaction practices and coordinate training and first line of assistance for new staff. Generate reports in BEN and Business Objects to verify budget balances available.

Job Responsibilities
+ Review and approve purchase order requisitions, process individual/entity invoices through Penn Marketplace Non-PO payment requests. Review travel and non-travel business related reimbursements according to University policies and procedures using Concur – Penn’s travel and expense management system.
+ Act as the School's central finance office liaison to Weitzman academic and academic support departments on best financial transaction practices and the required documentation to successfully complete a transaction. Coordinate training for new staff. Regularly attend meetings of the Association of Business Administrators and Global Administrators Working Group (GAWG) and work with Associate Director of Finance to communicate updates to University financial and travel policies.
+ Coordinate the fiscal activities of the various student groups across the School: Meet with Weitzman Student Council leaders to review annual GAPSA funding allocation, communicate with student groups on procurement policy and best practices. Generate Business Objects reporting to review spending and provide budgetary guidance to student groups. At fiscal year close, work with GAPSA and Provost Administrative Affairs to provide a concise, organized summary of all FY student group spending.
+ Facilitate procurement contracts and certificates of insurance with central University offices. Monitor purchase order open encumbrances. Resolve payee/vendor issues in a timely manner.
+ Run reports in BEN and Business Objects to verify budget balances available. Maintain Concur/WebAdi access database. Review and resolve unclaimed property/uncashed check reports quarterly.
+ Perform additional duties as assigned.
Qualifications
Required
+ Associate degree and 2 to 3 years of experience or equivalent combination of education and experience is required.
+ Attention to detail, excellent organizational skills and effective communication skills.
+ sound professional judgement and ability to exercise discretion in working with confidential and/or sensitive matters .
Preferred
+ Experience in BEN Financials and Concur.
+ Knowledge of University policies and procedures.
